Terms & Conditions of Hire
These Terms & Conditions (“Terms”) apply to all campervan hire bookings made with Express Campers, a trading name of Express Van Hire Limited (“we”, “us”, “our”). By booking a campervan, you (“the Hirer”) agree to be bound by these Terms.
Definitions
Hirer – the person(s) named on the booking form.
Vehicle – the campervan hired under this agreement.
Security Deposit – the refundable deposit held against damage, loss, or insurance excess.
Hire Period – the dates agreed in the booking confirmation.
Booking and Payment
1. The hirer shall pay the agreed hire fee for the period of hire and return the vehicle to the agreed location at the end of the period.
2. An additional £30.00 cleaning fee shall be added onto all bookings.
3. If the vehicle is returned later than 10am (or another time previously agreed) a day's rental will be paid by the hirer for each 24 hours or part thereof that the vehicle is late.
4. All bookings are subject to a non-refundable deposit of 20% of the total vehicle hire fee. This must be paid by bank transfer. The booking will not be secured until the deposit has been paid. By paying the booking deposit, you are confirming that you have read, understood, and agree to be bound by Express Campers’ Terms and Conditions. The deposit acts as acceptance of the hire agreement in full.
5. The remaining balance of the hire fee shall be paid no less than 30 days before collection of the vehicle by bank transfer.
6. In the event the booking is made less than 30 days prior to the hire period the full balance will be due .
7. A security deposit of £500 for standard vehicle and £750 for pet friendly vehicles shall be taken and held prior to hire and refunded after the vehicle is returned in satisfactory condition. Refunds typically take 3–5 working days.
8. Any requests to delay payment of either the down-payment or the balance must be approved by us at the time of booking and will be at the discretion of the company.
Cancellation Policy
9. If the booking is cancelled by the hirer more than 30 days prior to collection of the vehicle , there shall be no refund of the 20% deposit.
10. If the booking is cancelled less than 30 days prior to collection of the vehicle there shall be no refund of the full hire of the vehicle.
11. If we are forced to cancel a booking and are unable to offer an alternative equivalent vehicle, the deposit and any other payment made shall be returned to the hirer.
12. We recommend travel insurance to cover unexpected cancellations.
Vehicle Maintenance
13. The vehicle will be regularly serviced and maintained, but we will not accept any liability for any losses suffered by the hirer as a result of breakdown or any mechanical fault, including as a result of not being able to honour any contractual obligations, during the hire period.
14. We will, with and hirer, together check the condition and contents of the vehicle at the start of the hire period and the vehicle will be returned, together with all of its equipment, contents and documents, to the location agreed and on the date agreed, in the same condition as at the beginning of the hire period.
15. In the event the vehicle is returned to us damaged and/or in unacceptably dirty or untidy condition the hirer shall be liable for any costs that are incurred from additional cleaning.
16. The hirer shall be responsible for maintaining correct oil and water levels (Turbo Diesel Oil must be used), sufficient fuel levels and ensuring that the incorrect fuel is not used, during the hire period. The hirer shall be liable for any costs that are incurred from damage to the vehicle as a result of these levels not being maintained, or from incorrect fuel being used.
17. The fuel level will be noted on collection and the vehicle must be returned with the same level of fuel, otherwise the hirer will be subject to a charge of £2.00 per litre to restore the fuel level.
Drivers and Insurance:
18. All drivers of the hired vehicle must fulfil the following stipulations:
a. Hold a full UK or EU Driving Licence for at least 2 years.
b. Be aged between 23 and 75.
c. Not have had their licence suspended for any period in the last 3 years.
d. Not been involved in more than 1 fault incident in the last 3 years.
e. Not currently have more than 2 point convictions on their licence with no more than 3 points per conviction.
f. Present their photocard driving licence.
g. Present 2 forms of Proof of Address, such as utility bill, bank or credit card statement. These must share the same address as their Driving Licence and be dated within 3 months.
19. If any driver does not meet these requirements, they may be referred to our insurers if time allows. There is no guarantee they will be approved by the insurers, and if they are they may be subject to a higher insurance excess.
20. The hirer is liable to pay the insurance excess applicable to their age (23/24 year olds £700, 25-75 year olds £500) in the event that damage is caused to the hire vehicle and contents, and/or third party vehicle(s) and contents. Liability will be decided at the discretion of the lessor's insurance company. An excess for windscreen damage of £100 for replacement applies or £25 for a repair.
21. The hirer is liable to pay for all damage to the vehicle, its contents and fittings, whether the fault of the hirer or not, during the period of hire which we cannot recover from its insurers. This includes loss or damage to vehicle keys or locks.
22. In the event of an accident or incident involving the vehicle and third party, the hirer will:
a. Contact us by telephone, even in the case of slight damage.
b. Not discuss or admit liability to any third party.
c. Provide the third party and any law-enforcement with the driver's details, company's name and address and the company's insurance policy number.
d. Take the details of all third parties involved and pass them onto the lessor.
e. Not abandon the vehicle without adequate provision for safeguarding and securing it.
f. Contact the police immediately if another party's guilt or liability has to be established, or if any person is injured.
g. Do nothing that renders the insurance policy invalid or voidable.
23. In the event of a breakdown, the hirer will:
a. Contact the AA using the details provided
b. Contact us as soon as possible
24. The hirer shall ensure that the vehicle remains locked and secure when not in use.
25. We will not accept liability for loss or damage to any property left, stored or transported by the Hirer or any other persons in or upon the vehicle before or after return of the vehicle to us.
26. The hirer is prohibited from:
a. Smoking or vaping inside the vehicle
b. The use of candles, open flames of unless safe appliances inside the vehicle
27. The vehicle shall not be used:
a. To carry goods in contravention of customs regulations or for any other illegal purpose. In the event of the vehicle being impounded or taken from the hirer for breach of this rule, the hirer shall continue to pay the rental until the vehicle is returned to the lessor's possession.
b. To propel or tow any vehicle or trailer without consent of the lessor.
c. In motor sports, including bring driven on the Nürburgring Nordschleife.
d. By any person driving when unfit through drink or drugs or with blood alcohol concentration over the limit proscribed in the country the vehicle is driven.
e. or the carriage of goods of an explosive, dangerous or hazardous nature or for the carriage of goods or passengers for hire and reward or any other form of profit or remuneration.
f. to carry persons or equipment , or tow a trailer, which would cause the vehicle to be overloaded or to cause the vehicle to be unsafe or illegal. The current overall gross permissible weight is 3.5 tonnes or 3500kgs.
g. For the carriage of more passengers than the number of seatbelts
h. sub-hire or allow unauthorised drivers
i. For hire outside the UK unless agreed in writing
28. The hirer is liable to pay for any charges that occur during the hire period including
a. Toll roads and bridges – must be paid for at point of use
b. Red Route offences
c. Bus Lane Offences,
d. Parking tickets
e. Speeding offences
Any of the above charges that are sent to us after the hire period shall be referred to the Hirer for payment and they agree to accept liability for any offence committed during their hire period. A £20 admin fee will be charged for processing any of these issues.
29. The Hirer shall pay an additional fee for one-way rental if the vehicle is left at a location other than the agreed return location. This shall be equal to a double day rate for any day or part-day.
30. The hirer is responsible for checking and supplying any safety items that are required by law in any European country.
31. We reserve the right to terminate the hire immediately if :
a. The hirer breaches these terms
b. The vehicle is used illegally or dangerously
c. False information is provided during booking
32. These terms are governed by the laws of England and Wales
33. Any disputes will be handled by the courts of England and Wales.
